In Japan it is customary to exchange cards when meeting someone for the first time in a professional context. It is rude to hand out crumpled cards, since it gives an impression that you are looking down on the person. And, it is also rude to put cards you’ve received directly into your pocket. When presenting your card, hold it out with both hands so that they can easily read the characters, taking care not to conceal the letters. When holding it out, clearly state your name and the name of your company, “How do you do? I’m Brown of ABC company. Yoroshiku onegaiitashimasu.” It’s a good idea to add phrases such as those that follow: “Thank you for giving me your time today,” or “I appreciate you taking time out of your busy schedule.” Those who have a favor to ask or a product they wish to sell should present their business card first, while those who are being asked a favor of or who might be purchasing a product go after. If you are dealing with several people, you should take turns handing over your cards, starting with the person in the highest position. In any case, you should be prepared by placing clean business cards in a business card case, and put this somewhere that is easily accessible. When the person you’re addressing is already holding out their card, present your card beneath theirs. When you have forgotten to bring your business cards, or you have handed them out to so many people that no cards remain, you should apologize as follows: “I’m sorry. My business cards have run out. Please excuse my rudeness.”
