When the person you want to talk to picks up the phone, once again clearly state your name and company name, and you should add a greeting such as “Osewani natte orimasu.”
The person will reply with a similar greeting.
You may use a casual greeting depending on your relationship with that person.
For instance, “Konnichiwa” (good afternoon), “Itsumo arigatou gozaimau” (thank you as usual), “Gobusata shite orimasu” (long time, no see) indicate a relaxing of formalities.
Then, straight away briefly inform the person about the reason for the call, and confirm whether they have time to talk, by saying something like, “I’d like to discuss the location for tomorrow’s meeting, but is this a good time to talk?”
After discussing the matter at hand, you should repeat as follows to confirm the important points, such as meeting time, date, location, and building name:
“I repeat. That’s tomorrow at one p.m. on the first floor lobby of J building, Shinjuku.”
“Fukushou shimasu” can be replaced with “Kurikaeshimasu,” and “Yoroshiidesu ne” with “Machigai arimasen ka.”
After the person confirms this, you should say “Arigatou gozaimasu. Yoroshiku onegai itashimasu.”
“Yoroshiku onegai itashimasu” is a useful expression often used in business situations.
“Yoroshiku” is added when you request a favor of someone, or to transmit goodwill.
You can use this phrase, when you formally ask someone for something very important, and you can also use it casually instead of a greeting.
